If for any circumstances I cannot attend the reserved season, could I change it? or is there some kind of penalty? Is the money refundable?
CANCELLATION / REFUNDS
The final payment for camp fees is due in full by June 1, 2025. Before June 1, 2025, a non-refundable deposit of $500 is required to secure each registration. Payments will not be refundable or transferable to another child, family member, or future years if parents withdraw a child after April 8, 2025; shorten a session during the summer season due to illness or homesickness; or if a camper is sent home due to a violation of the code of conduct. Subject to availability, you may transfer a registration for the same person to an available date within the same summer at Sleepaway without penalty. Canceling camp before April 8, 2025, will result in the loss of the $500 deposit per canceled season. Canceling camp after April 8, 2025, and up to 30 days before the scheduled arrival date will result in the loss of fifty percent (50%) of the program fees. Canceling camp within 30 days prior to the scheduled arrival date will result in the loss of 100% of the program fees unless a medical certificate is provided along with the request. In cases where a cancellation occurs and no medical certificate is submitted, the fees, as described above, are non-refundable and non-transferable to another child, family member, or a future summer. This policy includes all cancellations resulting from other commitments and opportunities, including, but not limited to, family trips, sports tournaments, trials, travel restrictions, or summer classes. There is no fee adjustment if a guest arrives late or leaves early. The cancellation policy applies even if there is a waitlist for the event from which you are withdrawing.
The registration does not include: bedding or transportation from camp (which is optional and billed separately).
Medical services outside the camp and special prescriptions are not included in the registration and will be charged to the registered credit card at the time the expense is incurred.
Each family is required to have a credit card on file. Off-site expenses will be charged to the credit card when costs are incurred.
NOTE: Regarding situations beyond our control, such as pandemics, natural disasters, and others:
If Camp Guaikinima Summer 2025 cannot proceed due to a government mandate or our own decision, we reserve the right to maintain or modify our current cancellation policy with prior notice to our registered families.
Camp Guaikinima reserves the right to change the start and/or end dates of the Summer 2025 sessions according to the guidance of local authorities regarding the development of any situation beyond our control.
